Step Three: Create a Work Plan and Timeline

Once you have chosen the needs to address, your collaboration will need to make a detailed work plan and set a timeframe for the work. This outline should focus on the specifics of the goals that are to be accomplished, the results you are seeking, the people who will work on the project, and the timeframe and resources available to them. These plans should be set collectively by the collaboration. Once set, your collaboration should be sure to share them with any relevant team and community members.

Developing a Work Plan

The format of each action plan depends on the nature and needs of the project. The plan should specify:

  • The specific goals that are to be accomplished,
  • The specific strategies that will be used,
  • How each goal contributes to the collaboration’s strategic goals,
  • How results will be achieved,
  • Who will work on each project,
  • How you will involve people who will use your services,
  • When the results will be achieved,
  • How much it will cost to fund each project,
  • How you will fund each project,
  • How the work will be disseminated, and
  • How the work will be monitored and assessed.

Developing a Timeline

The timeline for your projects will depend on the complexity of each and the staffing and financial resources available to you. Once these have been determined, you should set a final deadline date. Then, you can define incremental deadlines for checking in and reviewing with other collaboration members. When managing your timeframe be sure to compile:

  • A realistic plan for the timing of each project in the work plan,
  • Reassurance of the available resources that will sustain the work for a certain amount of time,
  • Specific deadlines for each part of the work,
  • A timeframe for working with other people, and
  • A final deadline for the work.

Next Steps

Finally, it will be important to share all this information with the members of the collaborative team, as well as any partners who may be assisting with the work plan. In addition, it should be noted that these plans are meant only to guide your work; if you need to change or adjust them, work with your collaboration to manage that. Get consensus on changing work plans and timelines. It will be important to have everyone on the same page with regards to any changes, and the reasons for them.
